Privacy policy

Asisty is a virtual receptionist service run by Austipay Pty Ltd (ABN 56 695 275 775), Queensland, Australia ("we", "us"). This policy explains what personal information we handle, why, and your choices. We handle personal information in line with the Australian Privacy Principles.
Who this covers
- Businesses that use Asisty, and their staff who sign in to the dashboard.
- Callers who phone a business that uses Asisty. For callers, we act on behalf of that business; the business decides how it uses its call records.
- Visitors to asisty.me who send us an enquiry.
What we collect
- Account and billing details: business name, contact name, email, phone, plan, invoices and payments.
- Calls: the caller's phone number, the call's time and length, a recording and transcript (unless the business switches these off), a short summary, and anything the caller chooses to give, such as their name, email, the reason for their visit, a message or booking details.
- Phone orders: for takeaway businesses, what the caller orders, their name and mobile, their delivery address for deliveries, and whether the business has marked the order paid. Payment is made directly to the business by PayID or at the counter; we never ask for or store card details.
- Bookings and confirmations: appointment details, and the texts and emails sent to the caller about them.
- Connected calendars: if a business connects Google Calendar, Outlook, Cliniko or ServiceM8, we read when the business is busy or free and create, change and cancel the appointments Asisty books. With Cliniko and ServiceM8 we may also create a patient or job contact with the caller's name, phone and email.
- Enquiries: what you type into the contact form on our website.
Every call starts by telling the caller they are speaking with an AI receptionist and, when recording is on, that the call may be recorded.
How we use it
- To answer calls, book and manage appointments, take messages and transfer calls for the business.
- To send the caller confirmations and reminders about their booking, or their order details and how to pay.
- To show the business its calls, bookings and messages in its dashboard.
- To bill businesses, provide support, keep the service secure and fix problems.
- To reply to enquiries. We may send businesses information about Asisty; every such email has an unsubscribe link.
We do not sell personal information, and we do not use callers' information for our own marketing. Callers only receive marketing from a business if they agree to it on the call, and can unsubscribe at any time.
Google and Microsoft calendar data
When a business connects Google Calendar or Outlook, Asisty only uses that access to check busy and free times and to add, move and cancel the appointments it books. Asisty's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use calendar data for advertising, do not sell it, do not use it to train AI models, and people do not read it except where the business asks us to for support, where needed for security, or where the law requires. A business can disconnect at any time from its dashboard's Calendar page or from its Google or Microsoft account settings, and we then delete the stored access.
Who we share it with
We use trusted service providers to run Asisty, and they handle information only to provide their service to us:
- Telephony and messaging (Twilio) for calls, texts and email.
- Voice and AI providers (Vapi and the speech and language model providers it uses) to understand and respond to callers.
- Hosting and storage providers for the dashboard, database and recordings.
- The calendar or practice system a business chooses to connect.
- Email providers for sending invoices, codes and confirmations.
Some of these providers store or process information outside Australia, including in the United States. We choose providers with strong security and privacy commitments. We also disclose information where the law requires.
How long we keep it
- Call recordings are kept for 30 days by default, then deleted. Businesses can download them before then.
- Transcripts, summaries, bookings and messages are kept while the business uses Asisty, and deleted on request when it leaves.
- Billing records are kept as long as Australian tax law requires.
Security
Information is sent over encrypted connections. Passwords are stored as one-way hashes; connected-calendar access and mailbox passwords are stored encrypted. Each business only sees its own calls and bookings. Sign-in can require a code sent by email.
Access, correction and complaints
You can ask for a copy of the personal information we hold about you, or ask us to correct or delete it. If you called a business that uses Asisty, you can also ask that business directly. Email [email protected] and we will reply within 30 days.
If you're unhappy with how we've handled your information, contact us first. If we don't resolve it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Cookies
Our website doesn't use advertising or tracking cookies. The dashboard keeps your sign-in in your browser while you use it.
Changes
We'll update this page if our practices change, and show the date at the top.
